Viewing a Capture

Overview

When you click on a capture in the inbox, you're taken to the Capture Details view. This screen shows all information about the capture, including metadata, artifacts, timeline, and available actions.


Capture Details Layout

Header Section

Capture Name: Prominent display of capture title

Status Badge: Current state (Open, Submitted, Approved, etc.)

Template: Which template this capture was created from

Action Buttons: Primary actions available (Open Review, Approve, Reject, etc.)


Metadata Section

Displays:

  • All field values configured in the template
  • Created by and creation date
  • Custom fields and their values
  • Due dates (if configured)
  • Priority or other indicators

Purpose:

  • Understand context of capture
  • See all relevant information at a glance
  • Make informed decisions

Artifacts Section

Shows:

  • List of all associated artifacts
  • File names and types
  • Version information
  • Current states
  • Links to view artifacts

Actions:

  • Click to view individual artifacts
  • See artifact details
  • Access artifact in source system (Vault, etc.)

Timeline Section

Displays chronological history:

  • Capture created
  • Fields updated
  • Artifacts added/removed
  • Status changes
  • Reviews and approvals
  • Comments added
  • All user actions

For each entry:

  • What happened
  • Who performed the action
  • When it occurred
  • Any associated comments

Comments Section

Shows:

  • User comments and notes
  • Reviewer feedback
  • System-generated messages
  • Markup annotations referenced

Actions:

  • Add new comment
  • Reply to existing comments (if supported)
  • View comment history

Understanding the Timeline

Why Timeline Matters

The timeline provides:

  • Complete audit trail
  • Full history of the capture
  • Understanding of what's happened
  • Context for making decisions

Timeline Events

Creation Events:

  • Capture created by [User]
  • Initial fields populated
  • Artifacts added

Progress Events:

  • Fields updated
  • Artifacts modified
  • Status changes
  • Comments added

Review Events:

  • Review opened by [Reviewer]
  • Markups added
  • Artifacts viewed

Completion Events:

  • Submitted by [User]
  • Approved by [Reviewer]
  • Rejected by [Reviewer]

Reading Timeline Entries

Each entry shows:

[Icon] Action Description
       By: User Name
       Date: YYYY-MM-DD HH:MM
       Comments: [If any]

Artifact Details

Viewing Artifacts

From capture details:

  1. Locate Artifacts section
  2. Click on artifact name
  3. Artifact opens in viewer or downloads

Information shown:

  • File name and extension
  • Version/revision
  • Current lifecycle state
  • File size
  • Last modified date
  • Source location

Artifact States

Artifacts display their current state:

  • Work in Progress
  • In Review
  • Released
  • Obsolete
  • Other lifecycle states

Stale indicator: If artifact state has changed since added to capture


Available Actions

Actions available depend on:

  • Your role and permissions
  • Template configuration
  • Current capture status

Common Actions

Open Review:

Submit:

Approve:

Reject:

Add Comment:

  • Adds note to capture
  • Visible in timeline
  • Useful for communication

Edit (if permitted):

  • Modify field values
  • Update metadata
  • Add/remove artifacts

Close/Cancel:

  • Close capture without completion
  • May require permissions

Creating Captures

From Mesh

  1. Search and select files in Mesh
  2. Click "Create Capture"
  3. Select template
  4. Artifacts pre-populated
  5. Fill in required fields
  6. Submit

From Inbox

  1. Click "Create New" or "New Capture"
  2. Select template
  3. Fill in all fields
  4. Add artifacts (if not from Mesh)
  5. Review and submit

Required Information

Must provide:

  • All required fields (marked with *)
  • At least minimum artifacts (if configured)
  • Valid data for all fields

Tips for Creating Captures

  • Complete all fields - Saves time, prevents rejection
  • Add clear title - Makes it easy to find later
  • Include context - Use description field to explain purpose
  • Verify artifacts - Double-check you have correct files/versions
  • Check template - Make sure you're using the right template

Field Types in Detail

Text Fields

Single-line or multi-line text entry

Best practices:

  • Be clear and concise
  • Use proper spelling and grammar
  • Include all necessary context

Select from predefined list

Best practices:

  • Choose most appropriate option
  • Contact admin if needed option missing

Dates

Date picker selection

Best practices:

  • Be realistic with due dates
  • Consider reviewer availability
  • Account for holidays/weekends

User Pickers

Select MinuteView users

Best practices:

  • Choose appropriate reviewer
  • Verify person has necessary expertise
  • Consider workload

Capture Status

Common Statuses

Open:

  • Newly created, awaiting action
  • Reviewer has not yet opened

Under Review:

  • Reviewer has opened the capture
  • Review in progress

Submitted:

  • Submit-type capture completed
  • Automation triggered (if configured)

Approved:

  • Reviewer has approved
  • On-approve automation triggered

Rejected:

  • Reviewer has rejected
  • On-reject automation triggered
  • Check comments for feedback

Troubleshooting

Can't Edit Capture

Possible reasons:

  • Capture already submitted/approved
  • You don't have edit permissions
  • Capture is locked by another user

Solutions:

  • Check capture status
  • Verify your permissions
  • Contact administrator

Action Buttons Disabled

Possible reasons:

  • Required fields not filled
  • Insufficient artifacts
  • Artifact rules not met
  • You don't have permission for that action

Solutions:

  • Review error messages
  • Complete all required fields
  • Verify artifact requirements
  • Check your role permissions

Artifacts Won't Load

Check:

  • Network connection
  • Vault/file system access
  • Service account configuration
  • Contact IT support if persistent
