Configuration Guide

This guide covers the administrative configuration of Minute Capture, including creating and managing Capture Templates, security settings, integrations, and automation.

Overview

Capture Templates are the foundation of Capture. They define:

  • How captures behave
  • Who can access them
  • What actions occur when captures are submitted, approved, or rejected
  • What fields and artifacts are required

All template configuration is performed in the MinuteView Console.

Configuration Topics

Integration & Access

Mesh Integration

Enable capture creation directly from Mesh search results.

Security & Role Access

Configure role-based access control for templates and captures.

Model Viewing

Set up service accounts for viewing artifacts in the review environment.

Capture Behavior

Capture Environments

Choose between Legacy and Modern capture environments.

Stale Capture Management

Configure how Capture handles artifacts that change during review.

Artifact State Rules

Define rules for artifact consistency and validation.

Customization & Automation

Fields & Custom Columns

Add custom fields and configure inbox column display.

Event Handlers & Automation

Configure PowerShell scripts or workflows to run on capture actions.

Prerequisites

Before configuring Capture, ensure you have:

  • MinuteView Console access with administrative privileges
  • Appropriate roles assigned to users who will create/review captures
  • Service accounts configured for model viewing (if using artifact review)
  • Vault access (if integrating with Autodesk Vault)

Configuration Workflow

A typical configuration process follows these steps:

  1. Plan your template - Determine submission type, required fields, and security needs
  2. Create the template - Set up basic configuration in Console
  3. Configure security - Assign roles and access permissions
  4. Add custom fields - Define metadata fields needed for your process
  5. Set up integrations - Enable Mesh, configure model viewing, etc.
  6. Configure automation - Add event handlers for submit/approve/reject actions
  7. Test the template - Create test captures to validate configuration
  8. Deploy to users - Enable for production use

Best Practices

Start Simple

Begin with basic templates using minimal configuration. Add complexity as you understand user needs.

Use Modern Environment

Unless you have a specific reason to use the legacy environment, always choose the Modern Capture Environment for new templates.

Plan Security Early

Think through role assignments and access control before creating captures. Changing security after captures exist can be complex.

Test Event Handlers

Always test PowerShell scripts or workflows in a non-production environment before enabling on live templates.

Document Your Templates

Maintain documentation of what each template is for, who uses it, and what automation it triggers.

Common Configuration Scenarios

Scenario 1: Simple Document Submission

  • Template: Submit only (no approval)
  • Fields: Title, Description, Project
  • Integration: Mesh enabled
  • Automation: Email notification on submit

Scenario 2: Engineering Drawing Review

  • Template: Approve/Reject
  • Fields: Drawing numbers, Revision, Reviewer
  • Integration: Mesh enabled, Model viewing configured
  • Automation: Workflow on approve to publish drawings

Scenario 3: AI Output Validation

  • Template: Approve/Reject
  • Fields: AI Confidence Score, Validation Notes
  • Integration: None (system-triggered only)
  • Automation: Workflow on approve to continue processing, workflow on reject to flag for manual work
