Enable Features Setup

This article is a configuration guide for the Minute Controller, focusing on the "Enable Features Setup." This configuration guide provides a detailed overview of the Minute Controller tools and their day-to-day usage. Additionally, it outlines Minute Controller Restrictions related to lifecycle changes, checkout, item assignment, and lifecycle change actions.

The Vault Client application must be restarted to accommodate any changes made to the Enable Features Setup configuration.

Export configuration

Export the Minute Controller configuration for when using a non-Minute View server setup. Typically not used for modern installs of MinuteView and Minute Controller.

Tools

Minute Controller serves an array of bespoke tools for Vault users to address their day-to-day Vault workflow needs.

Copy Local Path Toggle Right Click Menu

Copies the selected file's Windows Directory to the users clipboard. Check that the Copy Local Path feature has been enabled under Feature Settings.

Copy Vault Path Toggle Right Click Menu

Copies the selected file's workspace path to the users clipboard. Check that the Copy Vault Path feature has been enabled under Feature Settings.

Create Local Folders Toggle Right Click Menu

Propagates the selected folder structure (including sub-folders) into the workstations workspace. Only folders and sub-folders are created during this operation.

Change Extension Toggle Right Click Menu

The Minute Controller Change Extension tool allows for the change of file extensions within the Vault environment. This has several uses, for an example when Enforce Restriction for Check In of Design Files is enabled preventing the check-in of CAD files, the "Change Extension" tool may be used to circumnavigate this restriction.

Queue Jobs Toggle Right Click Menu Advanced Menu

Queue Jobs is available via the File Right Click Menu and the Vault Advanced Toolbar.

The Queue Jobs tool allows for the queuing of jobs for Minute Creator to perform. Jobs are configured through Minute Creator New Job workflow.

Import Files Toggle Folder Right Click Menu

Enable Import Files to access both Import Folder/Transmittal and Import Select Files from the Minute Controller folder right-click menu within Vault.

The Import Files Tool feature setting must also be added for this tool to function correctly.

Register Files Toggle Right Click Menu

Enabling Register Files enables the tool Numbering/Register that is accessed via the right-click menu.

Right-clicking on an existing file and selecting Numbering/Register will prompt registration of existing files. Alternatively, right-clicking on a folder and selecting Numbering/Register will provide a similar experience for the generation of new files acting as reservations for future use - useful for the CAD file distribution to external consultants, allowing the preparation of their templates in advance.

Custom Entity GUIDs Vault Item GUIDs

Specify a list of Custom Entity GUIDS for use with the Job Queue. These GUIDS are required when configuring Queue Jobs Manually with Vault Custom Entities.

Lifecycle Change Restrictions Toggle

Add one or more Transition Event Restrictions to prevent a Job progressing beyond a previously unprocessed Job state. When a restriction is met, the user will be prompted that previous jobs are still awaiting to process prior to the file transitioning to the next state.

TIP

For example, a Job to publish a watermarked PDF may be required prior to then sharing that PDF file to SharePoint. A restriction could be created that prevents the submission of a SharePoint job whilst the PDF Watermark Job still awaits processing.

Whitelist Users and Groups Vault Users

Vault Users added to this whitelist will bypass the specified restriction.

Check Job Queue Toggle

Enable Check Job Queue to allow this feature to operate.
